3. Data We Collect

We collect personal data in three ways — data you provide directly, data collected automatically, and data received from third parties.

3.1 Data you provide directly

Registration data
When you create an account you provide a username, email address, and password. Expert account registrants also provide professional background information, credentials, areas of expertise, and a public bio.

Profile data
When you complete your contributor or expert profile you may provide your full name, professional title, institutional affiliation, areas of expertise, a profile photograph, and links to external professional profiles such as LinkedIn.

Submission data
When you submit content for publication via the Contributor Submission Form, you provide your name, email address, platform username, content type, article summary, document files, and a short author bio.

Session booking data
When you book an advisory session you provide your name, email address, and payment information processed through our payment partners. You do not share payment card details directly with ExpertCareerGuide.com — these are handled by PayMongo and PayPal.

Purchase data
When you purchase an e-book from the Digital Library, your transaction is processed through WooCommerce with payment handled by PayMongo or PayPal. We retain a record of the transaction including the title purchased, the date, and the amount paid.

Affiliate program data
When you apply to the Affiliate Program you provide your name, platform username, email address, intended promotion channels, and payout account details including GCash, bank account, or PayPal information.

Support and contact data
When you submit a support request or contact form you provide your name, email address, and the details of your inquiry or issue.

Communication data
Any emails, messages, or other communications you send to us or through the platform’s messaging system.

3.2 Data collected automatically

Usage data
When you visit ExpertCareerGuide.com, we automatically collect information about your visit including the pages you visit, the time and duration of your visit, the links you click, and how you navigate the platform. This is collected via Google Analytics and similar tools.

Device and technical data
We collect your IP address, browser type and version, operating system, device type, screen resolution, and referring URL. This data is used for technical support, security monitoring, and improving platform performance.

Cookie data
We use cookies and similar tracking technologies on the platform. Full details are in our Cookie Policy at expertcareerguide.com/legal-policies/cookie-policy/

Affiliate tracking data
If you arrive at ExpertCareerGuide.com via an affiliate referral link, we record the referral source using a cookie with a 30-day attribution window. This is used to track affiliate commissions accurately.

3.3 Data received from third parties

Payment processors
PayMongo and PayPal provide us with transaction confirmation data including whether a payment was successful, the transaction reference, and the amount. They do not share full card or bank details with us.

HivePress platform data
Our platform is built on WordPress with the HivePress plugin. HivePress generates and stores user account, profile, and booking data within our WordPress database.

SliceWP affiliate data
Our affiliate program is managed through SliceWP, which tracks referral clicks, attributed sales, commission calculations, and payout records within our WordPress installation.

4. How We Use Your Data

We use the personal data we collect for the following purposes.

To operate your account
We use your registration data to create and manage your platform account, authenticate your identity when you sign in, and maintain the security of your account.

To deliver platform services
We use your data to facilitate session bookings, process e-book purchases, manage your contributor submissions, and operate your affiliate program participation.

To communicate with you
We use your email address to send account confirmations, session booking confirmations, editorial review notifications, support responses, affiliate payout notifications, and platform updates relevant to your account.

To process payments
Transaction data is used to complete purchases, verify payment completion, process refunds where applicable, and maintain accurate financial records.

To review and publish submissions
Editorial team members access submission data — including your document, bio, and contact details — to conduct the editorial review process and manage publication.

To manage the affiliate program
We use affiliate tracking data to calculate commissions accurately, process payouts, investigate disputes, and maintain the integrity of the program.

To improve the platform
Usage data and technical data are used to understand how visitors use the platform, identify technical issues, improve page performance, and develop new features.

To ensure platform safety and security
We use data to detect and prevent fraud, abuse, guideline violations, and security incidents — including monitoring for self-referral in the affiliate program, fake profile creation, and prohibited content submission.

To comply with legal obligations
We retain and process certain data as required by applicable Philippine law, including the Data Privacy Act of 2012 (Republic Act 10173) and associated regulations.

5. Legal Basis for Processing

We process your personal data on the following legal bases under the Philippine Data Privacy Act of 2012.

Consent
Where you have given us explicit consent to process your data — for example, by registering an account, completing a profile, or subscribing to communications.

Contractual necessity
Where processing is necessary to fulfill our obligations to you under a contract — including providing platform access, processing session bookings, completing e-book purchases, and managing affiliate program participation.

Legitimate interests
Where processing is necessary for our legitimate business interests — including platform security, fraud prevention, analytics to improve the platform, and communications about your active account — provided these interests are not overridden by your rights and freedoms.

Legal compliance
Where processing is necessary to comply with applicable Philippine law or regulatory requirements.

6. How We Share Your Data

We do not sell, rent, or trade your personal data to third parties for commercial purposes. We share data only in the following limited circumstances.

Service providers and platform infrastructure
We share data with the third-party service providers that operate our platform infrastructure — including our WordPress hosting provider, PayMongo, PayPal, HivePress, SliceWP, Google Analytics, and FlipHTML5. These providers process data on our behalf and are bound by data processing agreements.

Expert profiles — public data
If you are a registered expert, your public profile information — including your name, credentials, bio, areas of expertise, and published works — is publicly visible on the Browse Experts directory and indexed by search engines. You control what information you include in your public profile.

Published content
Content you publish on the Knowledge Hub is publicly accessible and indexed by search engines. Your contributor name and bio are displayed alongside your published work. This is inherent to the publishing nature of the platform and cannot be removed without unpublishing your content.

Affiliate tracking
Affiliate referral data — including referral link clicks and attributed sales — is processed within SliceWP and accessible only to the affiliate account holder and platform administrators.

Legal requirements
We may disclose your personal data to law enforcement, government bodies, or courts where required by applicable Philippine law, a valid legal order, or to protect the rights, property, or safety of the platform, its users, or the public.

Business transfers
In the event of a merger, acquisition, or sale of all or part of Asturias Infinitive Media, your personal data may be transferred to the acquiring entity. You will be notified of any such transfer and your rights under this policy will continue to apply.

7. Data Retention

We retain your personal data for as long as your account is active and for a reasonable period thereafter to fulfill the purposes described in this policy.

Account data is retained for the duration of your account and for 12 months after account deactivation or deletion, after which it is permanently deleted unless legal obligations require longer retention.

Transaction data including purchase records and session booking history is retained for seven years in accordance with Philippine tax and financial record-keeping requirements.

Submission and publication data — published content and associated metadata is retained indefinitely unless a removal request is submitted and processed. Unpublished submission data is retained for 12 months after the editorial review decision.

Affiliate program data including commission records, payout history, and referral tracking data is retained for seven years for financial record-keeping purposes.

Support and contact data is retained for 24 months from the date of the last communication.

Usage and analytics data is retained in aggregated, anonymized form indefinitely. Individually identifiable usage data is retained for 26 months in line with Google Analytics default retention settings.

8. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, alteration, or disclosure.

Security measures include SSL/TLS encryption for all data transmitted between your browser and our platform, password hashing using industry-standard cryptographic methods, restricted access to personal data — limited to platform administrators and service personnel with a legitimate need, regular security monitoring and updates to our WordPress installation and plugins, and secure payment processing handled entirely by PayMongo and PayPal — we do not store payment card details.

Despite these measures, no internet transmission or electronic storage is completely secure. We cannot guarantee absolute security of your data. In the event of a data breach that poses a risk to your rights and freedoms, we will notify affected users and the National Privacy Commission in accordance with the Philippine Data Privacy Act.
